What a fantastic day this is going to be.
A few of us Malton Wheelers are going to be racing the 3/4 Cat event and are really looking forward to the festivities.
Its going to be great. :D

Hi Matt, and thanks for supporting the event. Plans are still very much "work in progress" but we're keen to make it a weekend for cyclists in town as far as possible. Bernie at the Bike Rescue Project is looking at booking somewhere in the city centre for a cycling quiz on the Saturday night; we might see if we can talk the event commentator (who's a stand-up comedian) into doing a gig, and City Screen are doing a special screening of "Jour de Fete" (classic Jacques Tati film with cycling at its heart) on Sunday just after the prizegiving. It's also of course the last two days of the TdF so we'll try to persuade a city centre pub or two that screening it would be good for business. Richer Sounds were up for putting a big widescreen TV in their window for us but guess what? No TV aerial - it's a listed building!

If any Malton Wheelers fancy helping out on the day (along with the many Cliftonites, hint hint) then I'm sure there'll be jobs. And if anyone fancies persuading their workmates into entering a team in the Brommie race, get onto Fraz at Cycleworks PDQ. And there are still places in the 3rds/4ths race...

Just bumping this back up to the top, since the date is creeping nearer and people keep asking me how it's all coming together.

Event arrangements are all slotting in to place okay; City of York Council is working hard to get all the necessary logistics (and believe me it's complex) sorted. The police have been supportive, and the press and radio are going to be making a noise about it. I've tried to keep the page on our site updated with timings / general info.

The day opens with the cycling leg of a York Rowing Club challenge event, and continues with the Brompton Challenge organised by Fraz at Cycleworks. If you fancy having a go and can get an office/works/club team together then contact Fraz for entry details. Have we got a Clifton team in it yet? If not, why not?!?

There follows a range of Youth races (for BC members) and Go-Ride/Race events (for non-members). Will all of our Go-Ride qualified leaders be available on the day, and could we have a chat sometime please?

There's then a "Family Event" which still hasn't been firmed up - we'd seen this as a parent and child relay event - say two laps each, using the Bromptons that we'll have for Fraz's race. Does someone fancy taking this on and organising signing-on and running the event?

Next is a disability race which is being organised in liaison with BC, and then the support (3rds/4ths) race and the Elite race. We currently have about sixty entries for the support race - with plenty of Clifton riders - and can still take more. Entries for the Elite race are now rolling in a team at a time, after a slow start.

There will be a prizegiving at around 7:15. I've already had a couple of very kind offers of prizes from members who have businesses, but if you think your company may be happy to donate prizes in return for a mention on the podium please let me know. I'm sure the serious riders will be after cash but something smaller but more memorable would go down well with the participants in the "fun" events.

Lastly there's a special showing of Jacques Tati's film "Jour de Fete" at 8pm at City Screen. This is a classic film with some wonderful cycling moments in it - and City Screen would love you to see it (and enjoy the cafe/bar afterwards...).

Can I make a preliminary cry for help on the following please:-

-We will need marshals on the day. Please let me know if you'd like to do this - you'll get a front-row view of the race and will be responsible for waving any flags that need waving.
-We'll need people to deal with signing-on and generally making sure competitors know what to do / where to go.
-There will be a number of gazebos in St.Sampson's Square - Cycleworks will be there along with Brompton, Willier and Trek. It would be great to have a Clifton stall there. Could we have a couple of volunteers to organise and staff this please? It would be good to have people from the MTB side of the club as well as the roadies so people can find out the full breadth of what the club has to offer.
-We need to sort out a supplier (preferably a sponsor/donor) of bottled water for the day. Does anyone have contacts in the trade and/or is willing to chase this up please?
-We will want a printed programme (to sell for a nominal amount). I'm happy to design this - much of it will duplicate what goes on the start sheet - but again if anyone has contacts within the print trade and could get a good deal or a freebie on printing (of say 1000 off in B&W) then again please get in touch.
-It would be great to get some good photos (and possibly video) of the event - there are some good photographers in the club....
-Someone suggested the idea of an informal few laps round the circuit on the Saturday evening followed by an equally informal drink at some suitable watering hole (all of which we could publicise as being open to cycling visitors who are up for the weekend) - does anyone think this would be a good idea and would like to put a bit of thought into how/where?

Right! Bumping this back to the top again as (i) it's only a week away now and (ii) I've only got just under a dozen firm offers of help on the day, and on that basis it's not going to work. Plus my little remaining hair is going increasingly grey meantime.

I had the final planning meeting with City of York, British Cycling etc yesterday, the upshot of which is:-

It's all definitely a go-go, approvals and paperwork all in place etc. We now have 80+ entries in the support race and 60+ in the Elites race which includes Ed Clancy, Chris Newton, Dean Downing, Malcolm Elliott and Clifton's very own ex-member Kit Gilham. We also have about 50 in the youth races. I'm not sure about numbers in the Brommie race but if you are even vaguely thinking about getting a works or club team in for this please contact Andy Fraser at York Cycleworks (fraz at yorkcycleworks dot com) NOW!

Running order for events will be roughly as per the one on our website (Competition > City Centre Races) subject to tweaks on the day; there will be no disability race but we will probably need the slack in case of delays.

We have a gazebo booked on St.Sampson's Square where we will be joined by Cycleworks, Cycle Heaven, various bike manufacturers and a sports bra fitter! We need a crew to run this - I know the committee are rustling up people but any help - just being around to answer questions and generally enthuse about cycling - would be great.

We will need a few people around in the morning to help set up the event HQ and to help official stewards stop people driving onto and parking on the circuit. You'll get an official-looking pass and something from the sausage stall for brekkie. Volunteers please?? I've got one so far, need three or four. 7am start.

We will need people to pair up with the official stewards at each of the twelve crossing points on the circuit. You'll be able to watch the races from these points but you'll also be very useful in answering questions about the racing, the club, etc, and also selling the official programmes. If you can do this, please let me know (and half an afternoon or a couple of hours is useful - you don't have to sign up for a full day). On the day, please come to the race HQ and if you can bring a shoulder bag for programmes then that would be cracking.

We will need about four marshals on the circuit to control the races with flags if required. Again, this can be shared around in short shifts but if you want a really very good view of the racing then this would be it - you'll be the only people inside the barriers except the riders and the lead motorcycle. Please contact me if you're up for this.

We will need a crew at the Event HQ to deal with signing-on and also gear checking of juniors/youths. Help and support will be given by BC staff. Two or three should do it, and again we can split shifts so no-one misses the bits they want to see (we should be able to pretty much shut up shop during the final - Elites - race).

And now the final - sometimes odd - requests:-

We will be giving cash prizes in most events but if any of you work for companies who might like to sponsor additional prizes (I've already got some champagne and wine from a couple of generous members) then that would be good for competitors and you'd get a prominent name-check too. Please contact me...

We have a provisional arrangement with Richer Sounds for them to lend us a 50" TV so we can broadcast the end of the Tour de France during the afternoon in the Race HQ. I'm rapidly running out of time to sort this out - could someone take this on? It means contacting the bloke at RS and sorting out collecting/shifting/returning it and also blagging a portable aerial. The HQ has power. Again, please contact me...

Does anyone have a farm? We could do with some strawbales for the two sharp lefthanders on the circuit (not that anyone springs to mind as likely crashers.... :wink: ) - they'd need dropping off and collecting. Once more, please contact me...

That's about it. It's shaping up to be a good day out, and one that could seriously lift the profile of cycle sport in the city, so how about helping give it a push. Many hands means sharing it around which means everyone gets time to enjoy the day and I get to keep my sanity.

Hi Phil

Just keeping this up to the top.

I have already contacted you regards Marshalling but I will be there early and will be available for the whole day to help out.

Come on Cliftonites this is a high profile event where the elite race will be on TV and Phil must have put in a lot of hard work leading up to the day, sadly this Thursday evenings club time trial has had to be cancelled due to a lack of volunteers, it would be good to get a great response from club members who can spare what time they have this Sunday.

Thanks Ian (and yep, I've got a job lined up for you!)

Update on progress:-

-We now have a full 7am crew for setting-up, stopping rogue early-morning parking, etc
-Lots of people have been beavering away behind the scenes to sort out nice comfy strawbales for riders to crash into
-We've scrapped the idea of the TV to show the TdF finish as I've had warnings about copyright / Performing Rights Society issues, but there should be local pubs showing it if you're desperate not to have to wait for the evening highlights show
-We have about a dozen or so volunteers, and hence need more.

Don't worry if you're not around all day - just a couple of hours or whatever is helpful, that way it shares the load and all the jobs still get done. Mostly we need people to pair up with the stewards at the crossing points and sell programmes - you can still watch the race from there (plus you get a commentary via the race radios...). Even if you're not sure what time you'll be there, let me know if you're available sometime. On the day, call in at the Event HQ (next to the finish line in Duncombe Place) and we'll work out what needs doing most urgently.

Oh, and keep your fingers crossed for good weather....

Looks like agood day, and seeing as I wont be helping out tonight in the end, i can be around whenever for the day, although I'll have to leave by 4 probably at the latest. I can do whatever needs doing then.

Arthur, help at any time is great - even a couple of hours means we can shuffle jobs around so everyone gets to see most of the racing as well as getting jobs covered. Just call at the Race HQ in Duncombe Place - we'll find you something to do (Standing next to the strawbales shouting "be careful" at the 3rds & 4ths...!) (Only kidding :wink: )
